Summary:
The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.
This includes maintaining office services and efficiency, supervising office staff and maintaining office records.
JOB DUTIES:
Answers questions and recommends corrective services to address customer complaints.
Ensuring a positive patient experience and optimal operational results by effectively managing core clinical practice management areas including patient scheduling, patient records management, service delivery management, staff management and facilities management Implementing operational, productivity, quality, and customer-service standards Assist operations manager with resolution of all physicians issues/complaint Assist operation manager with implementing all policy and procedures for clinical offices Monitoring and assuring compliance with statutory and regulatory requirements (e.
g.
Medicare, HIPAA, OSHA and other related) Identifying, managing and resolving day-to-day operational issues and problems Assist operation manager with procedure and record retentions for files Managing information systems; coordinating, recording and taking action on information flows to and from the clinical office in the relevant and requisite format and manner.
Assist operation manager with generating required reports from in-house information system for management reporting.
Maintaining supplies inventory for doctor's offices, pharmacy (where applicable) and laboratory to provide to operations manager for approval.
Managing consultation/patient referrals and authorizations Managing staff performance and assist the operations manager with implementing policies and procedures Assist operations manager with selecting, training, assigning, scheduling, coaching new hires.
Communicates as needed with the billing department to ensure accurate and timely office billing Performs other specific job activities as needed JOB REQUIREMENTS Education and/or Experience Minimum three (5) years' experience managing medical office with at least a minimum five doctors Must have at least seven years of medical office experience Must have at least one year experience in billing Required Knowledge, Skills and Abilities Knowledge of health care industry and medical terminology and practices Computer literate; knowledge and skill in the operation of computer systems and applications (medical software such as ECW/Medisoft and productivity software including MS Office and others) Ability to communicate clearly and interact with patients, medical staff and administrative personnel effectively Excellent customer service skills WORK ENVIRONMENT All work is performed within a standard health care/primary care clinical setting.
